Terms of Service

1. What you are buying

A licence to use the software at https://medicalcodingsoftware.org for one person, for the period you paid for. That is currently $390 per year per coder. The pricing page lists what is included, and everything listed there is included — there are no modules, no add-ons, and no separate membership.

One subscription is one person. Sharing a login with colleagues is the one thing we ask you not to do, because it is the only way this price stops working. If you need several people covered, each needs a seat; write to us and they go on one invoice.

2. The free parts stay free

The ICD-10-CM lookup, the decision guides, the denial-code explanations, and the free claim scrubber are available without an account and without payment. You may use them, link to them, quote them, and cite them. We are not going to put them behind the paywall later; if we ever did, everything published up to that point would stay open.

What you may not do is scrape them wholesale to rebuild the dataset elsewhere. Automated bulk extraction — beyond ordinary search-engine crawling — is not permitted, and we may block it. The underlying government data is public and you can get it from CMS directly; our arrangement of it, our writing, and our software are ours.

3. The trial

7 days, everything unlocked, no card. Because we never take a card, the trial cannot roll into a paid subscription by accident: when it ends, the workspace locks and nothing charges you. There is nothing to cancel and nothing to remember. The trial begins when you confirm your email address, not when you sign up.

4. Payment, renewal, and cancelling

• Payments are processed by our payment provider. We never receive or store your full card number — see the privacy policy for who handles it.
• Subscriptions run for a year from the day payment succeeds. Your renewal price is locked at what you first paid for as long as you stay subscribed continuously.
• If a renewal payment fails you keep full access for 14 days while you sort it out. We will email you; we will not cut you off mid-claim.
• To cancel, tell us — one message on the contact form does it. We date the cancellation from when you sent it, and you keep access for the remainder of the period you already paid for.

5. Refunds

Within 30 days of a payment, ask and we refund it in full. No conditions and no questions about why — you had a 7-day trial to find out whether this works for you, and if a month in it turns out not to, keeping your money would be a worse outcome for us than returning it.

After 30 days we do not refund the unused part of a year by default. If something genuinely went wrong — an outage that cost you working days, a feature that stopped doing what this site says it does — write to us anyway and we will sort it out.

6. Your work stays yours

The code lists and notes you create belong to you. We claim no rights over them and do not use them to train anything.

If your subscription lapses, your lists and notes stay readable rather than being held hostage — editing unlocks again if you resubscribe. If you ask us to delete your account, we delete it and them, and that is not reversible.

7. What this is not

Medical Coding & Billing Pro is a reference and verification tool for professional coders. It is not medical advice, legal advice, or billing advice, and it does not replace the ICD-10-CM Official Guidelines, your payer’s policy, or your own professional judgment. The code you submit on a claim is your decision and your responsibility.

We work hard to be accurate and we publish every correction, dated, in our public log. We still cannot warrant that every one of tens of thousands of codes and rules is free of error, and you should not treat any single tool — ours included — as the last word on a claim.

The software is provided as it is. To the extent the law allows, our total liability to you for anything arising out of your use of it is limited to what you paid us in the twelve months before the claim, and we are not liable for lost revenue, denied claims, or penalties. Nothing here limits liability that cannot lawfully be limited.

8. CPT and third-party content

We do not hold a CPT licence from the American Medical Association and therefore publish no CPT codes, descriptors, or CPT-derived edits. CPT® is a registered trademark of the AMA. Where we name other vendors — AAPC, Codify, Find-A-Code, Optum, EncoderPro, TruCode — those are their trademarks, the comparisons are our own opinion from their public pricing, and we are not affiliated with or endorsed by any of them.

The code data itself comes from public-domain US government releases, listed with their effective dates on our data sources page.

9. Ending it from our side

We may suspend or close an account that shares a single login across multiple people, bulk-scrapes the site, attacks it, or uses it to break the law. Where it is not an emergency we will tell you what the problem is and give you a chance to fix it first, and if we close a paid account for a reason that was not your fault we refund the unused part.

10. Changes

If we change these terms materially, we will email subscribers before the change takes effect and update the date at the top of this page. Your price will not change mid-term. If you do not accept a change, tell us and we will refund the unused part of your year.
